What are Project Funds?The following is only a sample list of available projects. However, there are countless other ways that one can serve in the Sun Valley community. Mission Encounter specializes in adapting work projects to fit the strengths and talents of each individual team.

payment schedules

  • $200 non-refundable team fee due at time of registration. This can be submitted online or by check.
  • $49 per person due within 21 days of registration. Check or money order only
  • $150 per person due 90 days before arrival date
  • $150 per person due 60 days from arrival date
  • $150 per person due 30 days from arrival date

FAQs

Accommodations:

Q: Where will we be staying?
A: We will be staying at a local church with full kitchen, bathroom, and shower facilities.   

Q: Where do we eat?
A: Breakfast and dinner will be provided at the church. Boxed lunches will be provided to take to the worksite. Each team will need to provide at least 2 volunteers each day to assist the cook with kitchen duty. Sunday evening dinner and Friday lunch are not provided by Mission Encounter.      

Projects:

Q: What is project money and how much do we need to provide?
A: Project money or project funds are the means in which teams obtain the materials necessary to completing a specific project. These funds are sent directly to M.E. before the team arrives at its camp site. These funds are then combined with the funds of other teams at that particular camp site. M.E. then uses these funds to purchase materials for all the teams present at the site. The amount of project funds needed varies depending on the specifics of the project. NOTE: M.E. understands that not all teams have the financial resources as others and would never disqualify a team from participating due to lack of project funds. However, the success of our events is based on our ability to provide the necessary materials to see each project to completion. Mission Encounter strongly encourages all teams to provide $500 – 1000 for every 10 people on the team. This amount will also depend on the nature of the designated projects.

Q: Will water be provided on the work site?
A: No. You will need to bring water to the site daily through the use of coolers or water bottles.   

Q: Can we do a VBS program?
A: Yes. However, it is imperative that you communicate to M.E. your desire to do a VBS program as soon as possible due to limited space and availability. Also, it is the participants’ responsibility to bring all necessary materials and curriculum for the program. Here is a link to several VBS programs that have been used in previous years.

Dress Code:

Q: Is there a dress code?
A: We do not enforce a strict dress code. However, we do encourage all teams to practice modesty and safety. Sturdy shoes should be worn on all work sites. 

Activities:

Q: What activities are available for our free day?
A: There are a wide variety of activities available in Sun Valley and the surrounding areas. Here is a sample list that we have compiled for you.

Q: Are free day activities included in our price?
A: No. All activities are done independent of your team cost for the trip.

Q: What meals are provided on free day?
A: Breakfast and dinner will be provided at the site as usual. Lunch is on your own.

Check-in/Check-out:

Q: Is check-in/check-out always on Sunday afternoon/Saturday morning? What if we want to check-in on an odd day?
A: Check-in is always on Sunday afternoon after 3:00 p.m. We are no longer accepting registrations for ‘odd day’ (any day other than the designated Sunday time) check-in dates. Please contact us if you have a schedule conflict that will not allow you to check-in on Sunday afternoon. Trips are always 6 nights starting on Sunday night.

Q: How early can we check-in on Sunday?
A: 3:00 p.m.

Transportation/Travel:

Q: We are flying in to the site. Is M.E. responsible for transporting us to/from the airport and to/from our work sites?
A: No. Please make arrangements for your own transportation to/from the airport. 

Shots/Vaccinations:
Q: Are shots and vaccinations required to attend?
A: Yes. Each participant is required to have updated Tetanus shots.

Cancellation Policy:

Q: Is there a cancellation policy?
A: Yes. Due to deposits and up-front costs, Mission Encounter adheres to the following cancellation policy.

Teams can add/drop participants from their roster up to 1 day before their arrival date. However, refunds of costs paid are contingent upon the following scale:

Cancel 30 days before arrival date – full refund
Cancel 29 -15 days before arrival date – refund 75% of cost paid
Cancel 14 – 1 day before arrival date - refund 50% of cost paid
No shows – no refund

Cancellations must be formally done through the online cancellation form. We will not honor any cancellations communicated through emails, letters, or phone messages.

When registering your team we recommend that you give the most conservative headcount possible. It is much easier for us to add participants to site rosters than it is to remove them. However, remember that space is limited at each of our sites and an accurate head count will ensure your first choice selection for dates.

We understand that emergencies and illnesses unfortunately happen. We will be more than willing to refund fees for participants in cases of EXTREME or SEVERE emergencies and illnesses.
